Welcome!

We are pleased you will be visiting us in the great Pacific Northwest.

If your visit to campus includes elements of travel to/from Oregon, you may find the following information useful as you prepare for your visit.

Our CAS Travel Coordinators are University staff members who have been granted permissions to assist invited guests with travel arrangements on their behalf. If a coordinator is assigned to you, you are encouraged to respond and complete required documentation promptly to avoid delays.

Things to Know

Based upon your invitation and business relationship with the University and your host unit, travel-related expenses may be paid directly by the unit on your behalf or may be the responsibility of the individual traveler.

  All-Inclusive, Self Service

If your fee is for service only, travel/miscellaneous arrangements and payment are your responsibility. No receipts are required by the UO; receipts are retained by you. This provides you the most flexibility and requires the least documentation.

  Not All-Inclusive, UO Assisted

If your fee for service includes provisions for travel reimbursements and/or direct payment(s) to third parties on your behalf, a CAS Travel Coordinator will be assigned to assist you with the available travel options and documentation requirements.

Payment

Per the University’s standard contract terms and conditions, the Contract Fee is paid after services have been completed. (Unfortunately, we have no authority to modify the University’s standard contract terms and conditions.) With your cooperation, the necessary paperwork can be prepared prior to your arrival. This will allow the Contract Fee to be paid within 45 days after fulfillment of the commitment and/or, if appropriate, 90 days after submission of a reimbursement request (itemized receipts required).

Cancelled or Rescheduled Visits

Sometimes planned visits are postponed and must be rescheduled or cancelled. In the event of postponement, the hosting unit will work with you to reschedule the engagement and, if appropriate, pay or authorize any additional costs associated with necessary changes. If you elect to cancel your visit to the University, you must notify the hosting unit as soon as possible.
